Press Fleet Coordinator/Manager - Berkshire

£30k + travel/subs, pension etc

 

The Role

Working for a major Motor Manufacturer, the successful candidate will be responsible for arranging all appropriate car press fleet bookings by establishing & maintaining good relationships with UK journalists and influencers. 

The role acts as a pivotal link with opinion formers (media, customer advocates, industry and government influencers) by organising loans and developing relationships that:

  • Raise awareness and understanding of the brand and products within the UK market
  • Offer the best media test drive experience in the UK motor industry
  • Strengthen the position of Manufacturer within the British car market, supporting the company and its retailer network towards reaching its short and long-term sales and business objectives.

Key Responsibilities: 

  • Understand the client’s objectives and needs in order to ensure they are the drive behind everything to do with the event or project
  • Excellent client handling skills. Regular liaison (and / or meetings) with the client giving updates of progress on the project and to manage timescales, creating any relevant documents required throughout the life of the project
  • Liaise with venue or show to ensure all details are correct and relevant documents are created and submitted
  • Travel to on-site inspections and to the set-up / live days if required to ensure smooth running
  • Commercial awareness. Maintain & work within the agreed budget, tracking all costs related to the event including negotiating prices with suppliers and venues to protect/maintain margin and production of final reconciliation to client
  • Ensure all internal Kinetics processes are followed and fulfilled including booking vehicles, staff, equipment and product
  • Liaise with relevant Kinetics staff on progress of project including warehouse for preparation of load list and to advise onsite event personnel of details
  • Book and liaise with suppliers including venues, entertainment, equipment, hotels, caterers, uniform, security, paramedic  and all other relevant suppliers to ensure all details & timings are given
  • Ensure that health, safety and insurance regulations are followed and relevant documents are created and supplied  for each event (risk assessments, method statements, fire certificates, PAT testing)
  • Fulfilment of Delegate Management if applicable including mailings, coordination of responses and badges
  • Reporting of events undertaken, demonstrating success of event against objectives including learnings made, measurement and recommendations for future.
  • Management of both equipment & product asset register held at Kinetics (client and company) including monthly stock checks for insurance & twice yearly condition reports 
  • Compile list of products required for show season to ensure availability & advise when stock can be sold

Desirables

  • Previous event management or PR experience
  • Existing relationships with UK media
  • Experience within a customer facing role
  • Proficient in all Microsoft programmes
  • Automotive technical/product knowledge
